Tutorial: Get Your IT Project Funded - 5 Steps to Improve the Odds

Step 2. Prepare a general outline organized around the key points

Writing an outline first will help you:

  • logically organize the points you want to make
  • determine the information you need to include
  • avoid including unnecessary verbiage that might obscure the message

A justification outline, could include:

  1. Alignment With Business Objective (or, Strategic Goal)
    ("This is what you want.")

  2. Cost Estimate
("This is what it will cost you to get it.")

  3. Approach
("It will do what it is supposed to do.")

  4. Key Deliverables and Schedule
("This is what you will get and when.")

  5. Project Control Plan
("This is how you know you can trust me to deliver the project result on time and within budget.")

Now you know: 1) what message to deliver to your audience, and 2) how you will structure it. If your organization has a pre-defined format, use it. You are likely to find that it requires most, if not all, of this information; albeit, in different terms or order of presentation.

Next we will discuss the contents of the message.
